Catalogue, issue and return, fines, and reservations.

This guide walks you through the workflows you will use on the Henapp Educare platform. Each section explains a task with clear, step-by-step instructions. Use the screenshot space beside each section to paste your own captures (Windows + Shift + S), or ask your IT lead to add them.

1. First-time login

Your school administrator gives you a login URL plus your email/username and a temporary password. The login URL is your school portal address with /login at the end.

Step by step

  • Open the login URL in your browser — Chrome, Edge, or any modern browser.
  • Type your email address (or your school-assigned username) in the first box.
  • Type your password in the second box. Passwords are case-sensitive.
  • Tick “Remember me” only on a device you alone use. Leave it unticked on shared or family devices.
  • Click “Sign In”.

First thing to do: change your password

  • Click your name in the top-right corner of the screen.
  • Choose “Profile” (or “My Profile”) from the dropdown menu.
  • Find the “Change Password” section.
  • Type your current temporary password, then your new password twice.
  • Click “Update Password”.

If you forget your password

  • Click “Forgot password?” on the login page. If your school has set up email, a reset link is sent to you.
  • Or ask your school administrator to reset it — they can set a temporary password for you from the admin panel.
Keep your account safe

Never share your password. Librarians see real student and school data — treat your login like a bank login. Always sign out on a shared computer.

2. Your librarian dashboard

As the school librarian you run the book catalogue, issue and return books, and manage fines. After login your sidebar focuses on the Library module.

  • Total titles, copies on loan, and overdue items.
  • Recent issues and returns.
  • Reservations waiting to be collected.

3. The book catalogue

3.1 Add a book

  • Sidebar → Library → Catalogue → Add Book.
  • Enter the title, author, category, and ISBN.
  • Set the number of copies the library holds.
  • Add a cover image and shelf location if you use them, then save.

3.2 Edit or remove a book

  • Open a book from the catalogue to edit its details or adjust the copy count.
  • Mark a copy as lost or damaged so it is no longer offered for loan.

4. Issuing (borrowing) a book

  • Sidebar → Library → Issue / Borrow.
  • Find the student or staff member by name.
  • Find the book — by title or by scanning its barcode.
  • Set the due date (the system suggests one from your loan period).
  • Confirm — the loan now shows on the borrower’s account.
Check for limits and overdue items

If a borrower has reached the loan limit, or has an overdue book, the system warns you before you issue another. Clear the overdue item first.

5. Returns and renewals

  • Sidebar → Library → Returns.
  • Find the loan — by borrower or by the book’s barcode.
  • Click “Return”. If the book is overdue, a fine is calculated automatically.
  • To renew instead of returning, extend the due date — provided the title is not reserved by someone else.

6. Fines

  • A fine is created automatically when an overdue book is returned.
  • Open the borrower’s record to see outstanding fines.
  • Record a fine payment when it is settled — a receipt is produced.
  • An admin can waive a fine if the school decides to.

7. Reservations

  • A borrower can reserve a title that is currently out on loan.
  • When a reserved copy is returned, the next person in the queue is notified.
  • The Reservations list shows what is waiting to be collected — hold those copies aside.

8. The digital / open-access reader

  • Some titles are available to read on screen — the open-access digital library.
  • Students open these from their own Library pages; no issue or return is needed.
  • The library module also offers reading quizzes and games to encourage use.

9. Library reports and exports

  • Most-borrowed titles, overdue lists, and fine summaries.
  • A stock-take list of the whole catalogue.
  • Every list has an Export button that downloads it as Excel.
  • Reports export to PDF on A4 with the school letterhead.

11. Common issues

I cannot find a book to issue

Search by part of the title or the author. If it is genuinely missing, add it to the catalogue first.

The system will not let me issue a book to a student

The borrower has likely reached the loan limit or has an overdue book. Clear the overdue item, then issue again.

A fine was calculated incorrectly

The fine uses the loan period and daily rate set by your school. If a book was returned late for a genuine reason, ask an admin to waive or adjust the fine.

A returned book still shows as on loan

The return may not have been confirmed. Open the loan again and click “Return” to complete it.

12. Switching languages (English / French)

The platform supports more than one language. Your school chooses which languages are enabled — usually English and French.

  • Look at the header bar at the top of the screen for a small language toggle (e.g. “EN” / “FR”).
  • Click the language code you want. The page reloads in that language.
  • Your choice is remembered for the rest of your session.
